Terms and Conditions
Regarding your Travel Design scope:
The Travel Design process happens in phases, as outlined in your email exchange with Living Big Travel and in the agreed-upon Travel Design scope.
Unless group planning facilitation is included in the scope, there should be one person appointed in your group (the “Group Decider”) that is responsible for approving this scope of work, communicating all final decisions, giving final approval on behalf of the traveling group and being the primary communicator with Living Big Travel. The Group Decider is also responsible for providing a credit card to pay for approved bookings.
If your scope includes the creation of a Final Travel Advisory, it will include:
All final bookings for hotel, ground transportation and activities, including email references to the re-confirmations that Living Big Travel will make on your behalf about one week before your departure.
All flights confirmations (you are responsible for forwarding to Living Big Travel)
General notes, tips and advice that will make your vacation an ideal experience
Living Big Travel will research airfare options and provide a recommendation but you will be responsible for making the final booking and forwarding your confirmation email to Living Big Travel.
If in the course of planning your trip there are substantial shifts or changes in the travel design scope, Living Big Travel may revise the fee needed to reflect the changes. You will receive advanced notice of the additional fee, along with a request to approve and a revised payment schedule.
Regarding payment of Travel Design fees:
You will pay for Travel Design fees in installment payments that correspond with the phases of work.
Your deposit is non-refundable.
Due to security requirements, the credit card used to submit your deposit is not automatically saved, so you will need to share your credit card details again for future installment payments.
Regarding booking services:
When booking services on your behalf (such as rental cars, train tickets, hotels, tours, etc.) are included in your scope, you are required to submit a credit card that you would like Living Big Travel to use to book these services.
It is your responsibility to have this credit card with you during your trip, as often vendors will ask to review the exact card used to make deposits and/or secure the reservation.
Prior to Living Big Travel using your credit card on your behalf, you will need to give written approval of each advance booking. The following booking details will be provided:
Reservation request and details
Vendor payment terms
Details on how your credit card information will be transmitted
Reservation cost in the quoted currency (along with the current exchange rate to USD)
Associated terms or waivers (by which you will be bound upon booking)
By signing this form, you consent to Living Big Travel’s use of your credit card account for the purchase of approved reservations and bookings.
Living Big Travel is not liable for price increases or fees incurred due to fluctuations in the exchange rates, delayed client approval of bookings, unexpected changes in conditions, flight delays, vendor or client cancellations, baggage fees, or fees associated with securing a Passport, Visa or duty.
Regarding travel requirements:
You are responsible for ensuring you have a valid Passport, as well as any necessary Visas, for traveling.
You are also responsible for understanding and tracking up to the day of departure all entry/exit requirements for the countries you’ll be departing from, transiting through, entering and returning to. Your Travel Designer will assist with this effort, but the final responsibility falls to the traveling group. This includes COVID-19 testing requirements, documentation that needs to be provided at border checkpoints and any other requirements as stated by governing authorities.
Regarding trip cancellations:
If you decide to cancel your trip and therefore no longer need Living Big Travel travel design services, you will automatically be billed for the time incurred from the date of the last installment payment to the time of cancellation, including any time associated with making cancellations on your behalf, at a rate of $75/hr.
You must also follow each supplier/vendor’s cancellation and refund policies. These policies will be included in the booking details sent to you prior to your approval for booking.
Regarding travel risks, requirements, warnings and resources:
You agree that Living Big Travel will not be liable for any delays in performance, cancellations, or damages caused by any Force Majeure. “Force Majeure” means any circumstances beyond the reasonable control of Living Big including but not limited to: acts of God, explosion, flood, tempest, forceful wind, earthquakes, fire or accident, other natural disasters, war or threat of war declared or undeclared, acts of terrorism, sabotage, insurrection, riots, strikes, civil disturbance, requisition, sickness, quarantine, government intervention, weather conditions, defects in machinery and vehicles, delay, wildlife, or other untoward occurrences. Living Big Travel strongly recommends the use of travel insurance to mitigate the risk of a Force Majeure.
Weather conditions, including but not limited to the presence or absence of snow, sunshine, and rainfall are not guaranteed and are outside of Living Big Travel’s control. Volcanic eruptions, ash clouds, and wind may be considered either adverse weather conditions or a natural disaster by suppliers/vendors or your travel insurance company. This is also outside of Living Big Travel’s control. Living Big Travel will not assume any responsibility for air and/or ground schedule changes.
Travel to certain destinations may involve greater risk than others. Providing trip-planning services to a particular location does not mean that travel to that location is advisable or without risk. Your participation in the travel and activities planned through this service means you accept these risks. Living Big Travel will not be responsible or liable for any costs, damages, or losses that may result from such travel. You are responsible for being aware of, and continuing to check for, current events and any travel prohibitions, warnings, announcements, or advisories issued by the United State Government before booking travel to international destinations.
You are responsible for ensuring you meet all necessary health requirements for travel, including required vaccinations, tests or medications. If you are concerned about certain health requirements or advisories, consult your healthcare provider. For information on what requirements or recommendations may be in place, or other travel restrictions, check out the US State Department, Centers for Disease Control, TSA, Department of Transportation, Federal Aviation Administration, Department of Treasury, and US Customs & Border Protection websites. You are also responsible for following all laws regarding what is allowed on an aircraft and providing proper forms of identification during all portions of your trip. Restrictions on hazardous materials can be found from the TSA and FAA. Information on identification can be found from the TSA and State Department. If you do not strictly follow these laws and requirements, you may be denied boarding or experience delays at security checkpoints.
Please note that the Americans with Disabilities Act only applies within the United States. Accessibility may be limited internationally, including motorized scooter, wheelchair access, uneven surfaces and elevator access.
